No one has time for  the manual labor of traditional records management.  So how do you make the transformation?  This workshop is designed to provide you with tips, strategies, hands-on exercises and tools to make the switch. Live demonstrations of an ECM system and modern processes included.

Agenda

9:00 - 9:50 amMake Noise: Making RM Relevant Today!

RM is a multifaceted discipline, and is an invaluable and critical role within the operations of an organization. When technology adoption shifted focus to IT, records management was pushed out of the driver’s seat and into the trunk hidden and out of the way. Find out how to make some noise and get back into the driver’s seat! (Category E)
Session includes:
Samples of modern RM related job/position descriptions
How to request a desk or position audit
Tips and strategies to elevate RM to rock star status

10:00 - 10:50 amAssess the Situation: Records Assessments as a Tool

Have a PRA Problem? It’s really an RM Problem! It’s obvious that public records requests are a problem, and the passage of SB 1594 and 1595 only increased the requirements agencies are already burdened with. Much of the ISO 15489 is doing analysis and assessments., and using the data gathered as a tool can help agencies identify problem areas on an enterprise level and also develop a plan to provide solutions. (Category E) Session includes:
How to do an assessment (workbook included)
How to use assessments as a tool
Review of RM metrics for JLARC reporting

11:00 - 11:50 amFrom Manual Labor to Automation

Nobody has the time nor inclination for manual records management there’s plenty of clutter in the paper world, and terabytes of digital disorganization! Use of technology has made RM very labor intensive due to lack of systems. Learn how to transform your retention and disposition processes from manual labor to “automagical”! (Category D)
Session includes:
Demonstration of RM functions of an ECM
Reporting JLARC metrics

Noon- 1:00LUNCH

Provided

1:00 - 1:20 pmMetadata "Demystified"

Good metadata is essential for searching and management of digital information. But what is metadata, really? “Data about data” is the usual description for metadata, but that description is not terribly helpful. Take the mystery out of metadata, and learn the different types and the process of developing meaningful metadata for the organization. (Category D)
Session includes:
Worksheets and exercises to develop good metadata

1:20 - 1:50 pmBuilding a Structure From Pick-Up Sticks

There’s a lot of information to be found on the topic of file structures, taxonomies, and so on. This session distills this information down and provides practical guidance on organizing digital information. (Category D)
Session includes:
How to create a basic blueprint (plan)
How to build a structure from bits and pieces

2:00 - 3:15 pmWhat's ECM Got To Do With It?

Similar to the confusion with the role of a records manager, there’s confusion of what Enterprise Content Management (ECM) is and how much it can do for you. Agencies tend to buy multiple software to solve multiple problems, but this leads to more difficulty and chaos. (Category G)
Session includes:
Benefits of ECM and how it can solve a myriad of problems.
ISO 15489 and DoD5015.2 standards what’s the difference and why are they important?
Live demonstration of an ECM system JLARC Reporting & Security features

3:30 - 4:30 pmA 4 Step Program: Digitize, Organize, Renovate, Innovate

Many agencies still struggle with paper! ECM bridges the gap between paper and digital. Digital transformation improves processes to reduce delivery times and operating expense. (Category D)
Session includes:
Best practices and requirements for digitization
How to organize and renovate processes to include automation
Demonstration of the latest innovative workflows and business processes, including public records tracking and automatic filing!
